QuickBooks Desktop Reports to Excel: Built-In Export and AI (2026)
Short answer: Every QuickBooks Desktop report has an Excel button: open the report from Reports > Report Center and choose Excel > Create New Worksheet. That gives you the report as QuickBooks shows it. If you want a report QuickBooks doesn't have, or the same report from several company files side by side, connect an AI assistant through LedgerCrossing and ask for it in plain words. It pulls the numbers from your company file, and Claude hands them back as an Excel file.

Your options, compared
| Way | What you get | Good for | Watch out for |
|---|---|---|---|
| Excel button on a report: Reports > Report Center, open the report, Excel > Create New Worksheet | The report exactly as QuickBooks lays it out | Standard reports you run every month | You set the dates and filters by hand each time. |
| Customize Report, then Excel | A standard report with your own columns and filters | One-off variations of a standard report | Each variation is a manual setup; save it as a memorized report to reuse it |
| An AI assistant through LedgerCrossing | A new Excel file built to your description | Reports QuickBooks doesn't have, several company files at once, a sheet laid out the way your boss wants it | The QuickBooks computer must be on. Check one total against QuickBooks the first time |
How to get a report into Excel with an AI assistant
1. Connect an AI assistant to QuickBooks Desktop
LedgerCrossing runs on the computer where QuickBooks Desktop runs. Then connect one of these:
- Claude Desktop on that computer or another computer in your office. Included in the $299, no subscription. Setup: How to connect Claude to QuickBooks Desktop.
- claude.ai, ChatGPT, Meta Muse or Grok Bot from anywhere, through LedgerCrossing Remote ($39/mo). Setup: How to connect ChatGPT; the others use the same address. Reports only read your books, so Remote's read-only default is all you need. claude.ai needs a paid Claude plan, and ChatGPT a paid plan with Developer mode.
Claude makes Excel files out of the box. If it says it can't, turn on Code execution and file creation (called Create and edit files in newer settings) under Settings > Capabilities. ChatGPT shows the report as a table you can copy into Excel.
2. Ask for the report in plain words
Say which company file, which report, which dates, and how you want the sheet laid out. For example:
From Acme.qbw, pull the A/R aging as of today. Give me an Excel file with one row per customer, the 31–60, 61–90 and over-90 columns, and the customer's phone number. Sort by the over-90 amount, largest first.
Profit and loss by month for January through October 2026, for each of my three company files. Put each company on its own tab and add a tab that totals them.
Every bill from Gulf Supply in 2026 with the date, number, amount, and whether it's paid, in Excel.
3. Check it once, then reuse the request
The first time, compare one total in the sheet with the same report in QuickBooks. When it matches, save your request in a note and paste it in next month.
Reports it can pull
The assistant runs QuickBooks' own reports through Intuit's QuickBooks SDK, so the numbers come from QuickBooks itself:
- Profit and loss: standard, by class, by job, year-to-date comparison, previous-year comparison.
- Balance sheet and trial balance.
- Who owes and who's owed: A/R and A/P aging, summary or detail, and the collections report.
- Sales: by customer, by item, by sales rep. Purchases and expenses: by vendor and by item.
- Inventory: valuation and stock status.
- Sales tax liability, budgets, job and time reports, and payroll summary and detail if you run QuickBooks payroll.
- Custom reports filtered by date, account, customer, vendor, item, class or transaction type.
It can also look up the transactions themselves (invoices, bills, payments, checks) when you want a list rather than a report.
"I use it … when I need it to build out any reports. I just tell Claude to check in with QuickBooks and give me an Excel sheet of it…"

Tips
- Give a date range. Say "this year" or "October 2026" so the report covers the period you mean.
- Keep QuickBooks' totals. Ask the assistant to keep QuickBooks' own totals and subtotals rather than adding the rows up itself.
- Name the company file if LedgerCrossing serves more than one.
- It's a new workbook. The AI builds its own sheet. It doesn't reuse QuickBooks' Excel formatting or update an existing workbook the way Update Existing Worksheet does.
Frequently asked questions
How do I export a report from QuickBooks Desktop to Excel? Open the report from Reports > Report Center, then choose Excel > Create New Worksheet. To refresh a workbook you exported before, choose Update Existing Worksheet.
Can AI make QuickBooks Desktop reports? Yes, through LedgerCrossing, a Windows app on the QuickBooks computer. Claude Desktop connects on that computer or your office network; claude.ai, ChatGPT, Meta Muse and Grok Bot connect from anywhere through LedgerCrossing Remote. You ask for a report in plain words and it pulls the numbers from your company file.
Can it give me an Excel file, not just a table in the chat? Yes, with Claude. It creates .xlsx files (file creation is on by default in its settings). ChatGPT shows the report as a table you can copy into Excel.
Can it combine several company files? Yes. LedgerCrossing opens each company file in turn, so the assistant can pull the same report from each one and put them in one workbook. Each switch between files takes about 15–20 seconds. It can't switch while someone has a different company file open in QuickBooks on that computer.
Does it change anything in my books? Not to run a report; reports only read. On the QuickBooks computer or your office network the assistant can also make changes if you ask it to, as the QuickBooks user LedgerCrossing signs in as. If someone has the company file open in QuickBooks on that same computer, requests run in their session, as their QuickBooks user. Over LedgerCrossing Remote, everyone starts read-only. Details: Security and IT review.
Where does my data go? The report goes to the AI provider you connected, under your account with them. LedgerCrossing sends only what the assistant asks for and sends no QuickBooks data to us.
How much does it cost? LedgerCrossing is $299 one-time per computer (limited-time price, rises to $349), with unlimited company files and a 30-day money-back guarantee. Claude Desktop on the QuickBooks computer or office network is included. claude.ai, ChatGPT, Meta Muse and Grok Bot need LedgerCrossing Remote, $39/mo.
Which QuickBooks Desktop versions work? Pro, Premier, and Enterprise on Windows 10 or 11, and Windows Server 2016–2025.
