How to Connect ChatGPT to QuickBooks Desktop (2026)

Short answer: Yes, with two pieces. ChatGPT runs in OpenAI's cloud, and QuickBooks Desktop keeps your company file on a Windows computer, so ChatGPT can't reach it on its own. Connect ChatGPT, step by step

1. Add a user in LedgerCrossing

On the QuickBooks computer, open LedgerCrossing Settings > Allowed Connections > Internet and click Add user. The username is what the person types to sign in, and what the audit log records. Read-only is on for every new user. Click Add. LedgerCrossing shows the password once, so click Copy username and password and give them to the person.

2. Copy the MCP Server address

On the same tab, copy the MCP Server address. It's your Remote address, ending in /mcp.

3. Add LedgerCrossing to ChatGPT

1. In ChatGPT, open Settings > Security and login and turn on Developer mode.
2. Open Settings > Plugins and click +.
3. Name it LedgerCrossing, paste the address, set Authentication to OAuth, and create it.
4. LedgerCrossing's sign-in page opens. Enter the username and password and click Allow.

To show the LedgerCrossing logo in ChatGPT, open the plugin's Manage menu and upload it.

4. Ask your first question

Start with "Which QuickBooks company files can I use?" LedgerCrossing answers with the files this person may use. Then name the file the first time you ask about it:

• "In Acme.qbw, which customers are more than 60 days overdue?"
• "Total sales by item for August."
• "Show me open bills due this week."

Let ChatGPT make changes (optional)

Over Remote, everyone starts read-only: ChatGPT can look things up but can't change the books. To let someone's ChatGPT enter invoices, bills or card charges, turn off Read-only in Settings > Allowed Connections > Internet, and on that person (Edit on their row). The change takes effect on their next request.

On the same tab you can limit a person to particular company files, and Remove signs them out everywhere at once.

What ChatGPT can do once connected
