How to Import Bank and Credit Card Transactions into QuickBooks Desktop (2026)
Short answer: QuickBooks Desktop can't import transactions from a CSV or Excel file directly; its
Excel import is for lists such as customers, vendors and items. The built-in ways in are your bank's
QuickBooks download file (Web Connect, .QBO), Batch Enter Transactions (Accountant and Enterprise
only), an IIF file, or typing. Or you can upload the statement to an AI assistant connected through
LedgerCrossing, tell it how to enter each row, and it creates the checks, deposits, card charges or
journal entries in your company file.

Your options, compared
| Way in | Editions | What you need | Good for | Watch out for |
|---|---|---|---|---|
Your bank's QuickBooks download (Web Connect .QBO file): Banking > Bank Feeds > Import Web Connect Files |
Pro, Premier, Enterprise | A bank that offers QuickBooks downloads, and your Intuit account signed in inside QuickBooks | Regular downloads from a bank that supports it | Not every bank or card offers it. You review the downloaded transactions in QuickBooks before adding them |
| Batch Enter Transactions (Accountant menu): paste rows from Excel | Accountant and Enterprise only | A spreadsheet with its columns in the same order as the batch screen | Bookkeepers with clean spreadsheets | Pro and Premier don't have it. Columns must line up exactly, and you choose every account yourself |
| IIF file: File > Utilities > Import > IIF Files | Pro, Premier, Enterprise | A file built in Intuit's IIF format | People comfortable building that format | Easy to get wrong; back up the company file first |
| An import add-on or converter | Varies | A separate purchase | High volume, every month | Another product to buy and learn |
| An AI assistant through LedgerCrossing | Pro, Premier, Enterprise | LedgerCrossing ($299 one-time) and an AI assistant (below) | PDF statements, banks with no QuickBooks download, catch-up months, spreadsheets in any layout | You check its list before it enters anything. The QuickBooks computer must be on |
| Typing them in | All | Time | A handful of transactions | Slow, and easy to mistype |
The AI route doesn't connect to your bank. It works from the file you upload: a PDF statement, a CSV export, or a spreadsheet. It enters each row through Intuit's QuickBooks SDK, the same way an integration would, and uses your own chart of accounts, vendors and customers.
How to have an AI enter a statement
1. Connect an AI assistant to QuickBooks Desktop
LedgerCrossing runs on the computer where QuickBooks Desktop runs. Then connect one of these:
- Claude Desktop on that computer or another computer in your office. Included in the $299, no subscription. Setup: How to connect Claude to QuickBooks Desktop.
- claude.ai, ChatGPT or Meta Muse from anywhere, through LedgerCrossing Remote ($39/mo). Setup: How to connect ChatGPT (claude.ai and Meta Muse use the same address). Remote starts everyone read-only, so allow changes for the person who will enter statements: turn off Read-only in Settings > Allowed Connections > Internet, and on that person.
2. Upload the statement and say how to enter it
Attach the statement in the chat and give the rules in plain words. For example:
Here's my October card statement. In Acme.qbw, enter each charge as a credit card charge in the account "Business Card", and each refund as a credit. Skip payments to the card; those are entered from the bank account. For vendors I've entered before, look up my last entry for that vendor and use the same expense account. Before entering anything, list every row with the account you'd use, and wait for my OK.
The assistant follows the rules you give it in the chat. It doesn't pick them up on its own, so say how you want things entered. For a vendor that isn't in QuickBooks yet, tell it whether to add the vendor or ask you first.
3. Check the list, then let it enter
Correct anything you'd do differently ("put the Shell charges in Fuel, not Auto"), then tell it to go ahead. Ask for the total it entered and compare it to the statement.
4. Look at the result in QuickBooks
The entries are in the account register like any others, and QuickBooks' Audit Trail records each one. You finish the month in QuickBooks as you do now.
What it can enter
- Bank statements: checks for money out and deposits for money in.
- Credit card statements: credit card charges, and credits for refunds.
- Bills from a list of vendor invoices.
- Journal entries from a spreadsheet, as long as the debits and credits balance.
The same rules apply as when you type: the QuickBooks user LedgerCrossing signs in as needs permission for those transactions, and QuickBooks refuses changes dated before the company file's closing date. If someone has the company file open in QuickBooks on that same computer, requests run in their session, as their QuickBooks user.
Tips
- Start small. Try a few rows first and look at them in QuickBooks before you hand over a full month.
- Ask it to check before adding. "Before entering each row, check whether QuickBooks already has an entry with the same date and amount in that account, and skip it if so."
- Keep your instructions. If you enter the same card every month, save your rules in a note and paste them in each time.
- Read a scan before you trust it. Claude and ChatGPT read PDF statements and spreadsheets well, but a blurry scan can be misread. That's what the list in step 2 is for.
Frequently asked questions
Can QuickBooks Desktop import bank transactions from Excel or CSV?
Not directly. Its Excel and CSV import covers lists such as customers, vendors and items. For
transactions, use your bank's Web Connect (.QBO) download, Batch Enter Transactions (Accountant and
Enterprise only), an IIF file, an add-on, or an AI assistant connected through LedgerCrossing.
Can AI enter transactions into QuickBooks Desktop? Yes, through LedgerCrossing, a Windows app on the QuickBooks computer. Claude Desktop connects to it on that computer or your office network; claude.ai, ChatGPT and Meta Muse connect from anywhere through LedgerCrossing Remote. You tell the assistant how to enter each row, and it creates the transactions in your company file.
Does it work with PDF statements? Yes. Upload the PDF and the assistant reads the rows. Have it list what it will enter before it enters anything, especially from a scan.
Which transactions can it create? Checks, deposits, credit card charges and credits, bills, and journal entries, using your own accounts, vendors and customers.
Will it enter something twice? Not if you ask it to check first. Tell it to look for an entry with the same date and amount before adding each row.
Does it attach the statement to the transactions? No. The QuickBooks SDK can't reach attachments, so keep the statement wherever you file it now.
Is it safe to let an AI enter transactions? You approve its list before it enters anything. Over LedgerCrossing Remote, everyone starts read-only until the owner allows changes. The QuickBooks user's permissions and the closing date still apply (if the file is open in QuickBooks on that computer, as the user signed in there), and both LedgerCrossing's audit log and QuickBooks' Audit Trail record every transaction. Details for IT: Security and IT review.
How much does it cost? LedgerCrossing is $299 one-time per computer (limited-time price, rises to $349), with unlimited company files and a 30-day money-back guarantee. Claude Desktop on the QuickBooks computer or office network is included. claude.ai, ChatGPT and Meta Muse need LedgerCrossing Remote, $39/mo.
Which QuickBooks Desktop versions work? Pro, Premier, and Enterprise on Windows 10 or 11, and Windows Server 2016–2025.
Does LedgerCrossing replace the Web Connector for my other apps? Not for vendor-controlled apps. LedgerCrossing works with anything that can make a web request, so integrations you or your developer control can switch by sending qbXML as an HTTP POST. See Web Connector alternatives.
